STUDY MATERIAL FOR CONVENTION

PRINTED MATERIALS will be given to Convention delegates at registration check-in. There is no need to print the study materials. 

All clergy, delegates, and alternates to Convention should have received the Study Material by email on February 5. If you are a delegate and did not receive this email, please email jenn@diocgc.org. 

PRE-CONVENTION MEETINGS

Clergy and delegates are strongly encouraged to attend one of the pre-convention meetings where Bishop Russell and Dwight Babcock will present information regarding submitted resolutions, budget, and other convention business.

CERTIFICATION OF LAY DELEGATES

Deadline for the election of delegates is Sunday, December 16, 2018. Completed forms are due to the diocesan office by Monday, December 17, 2018.

  • print and complete the form, scan document and email to jenn@diocgc.org OR

  • print and complete the form and mail to Diocese of the CGC, PO Box 13330, Pensacola, FL 32591-3330.

Lay delegates should be ELECTED AND CERTIFIED ON OR BEFORE December 16, 2018.

 

In accordance with Canon 3, Sections 4 and 5, of this diocese:

  1. The number of lay delegates per congregation is based on parish or mission status and upon the number of communicants in good standing, as listed on the 2017 Parochial Report, page 2, line 3. For your convenience, the list on the reverse shows the number of lay delegates each congregation may elect.

  2. Lay delegates are elected for one year, or until their successors are elected, and shall also be the delegates for any special and called meetings of the Convention during their term of service. Each congregation shall also be entitled to elect one (1) alternate delegate for each delegate.

  3. Lay delegates should be elected and certified no later than sixty days prior to the date of the Convention.

GENERAL RESOLUTIONS

Our Rules of Order require that all resolutions be presented in writing 45 days prior to the Convention.

REGISTRATION

Each church is asked to register all of their clergy and lay delegates at one time. Only register an alternate if they are attending Convention in addition to the delegate.

RESOLUTIONS TO AMEND CANONS

Canon 28 requires all proposals altering or amending canons should be presented in writing 90 days prior to the opening of the Convention, to be distributed to congregations 60 days prior to the opening of Convention. 

BREAKFAST / LUNCH / DINNER

BREAKFAST

St. James will be providing continental type breakfast on Friday and Saturday mornings (i.e., muffins, fruit, juices, etc.) since ALL of the hotels will be offering complimentary breakfasts.

LUNCH ON FRIDAY

Lunch will be hosted on-site this year on Friday, provided by Chicken Salad Chicks, and will be served from the ground-floor rooms in Wilson Hall.   Each room for lunch pick-up will be clearly designated with signage, according to the letters corresponding to your last names.

THURSDAY NIGHT DINING

As in the past, dinner Thursday evening, February 14, following the opening church service, will be on your own.

We ask that you please keep in mind the following: First, this is Valentine’s Day night; and second, although there are a large number of restaurants and fine dining in the downtown Fairhope area, most of those restaurants are fairly small.   Also, most will be accepting reservations since it is Valentine’s Day, and some will only offer either a limited menu, or a prix-fixe menu. 

If you are planning on a special Valentine’s Night dinner, we would encourage you to please make reservations, or inquiries well ahead of time.   HERE is a listing of the area restaurants for your review in making your dining decisions for Thursday evening.

CHILDCARE

Childcare will be available at St. James Church during the Thursday night service, Friday night Gala and Saturday morning Clergy Spouse Brunch. You MUST pre-register by contacting Anne McEniry at the church office at (251)928-2912 or via email, christianformation@stjamesfairhope.org, no later than Monday, February 11.  Childcare will be provided during the Gala on Friday night from 5:30 p.m. to 9:30 p.m.

CLERGY SPOUSE/PARTNER LUNCHEON

Hosted by Robin Kendrick, the Clergy Spouse Luncheon will be held on Saturday, February 16, at 9:30 a.m. until 11:15 a.m., at the home of Teresa Smith in Point Clear. Transportation will be provided from St. James, departing at 9 a.m., as parking at the Smith home is limited. All clergy spouses/partners and surviving spouses/partners are invited. Please RSVP to the Diocesan Office at (850) 434-7337 by Monday, February 4.

EXHIBITORS/VENDORS

Exhibits showcasing various commissions, agencies, institution, ministries and organizations will be open through the Convention.  Please stop by for a visit to see the displays and to learn more about what is happening in our diocese.  Exhibitors will be located in the Parish Hall (Green Hall). 

 

Exhibitor space is reserved for diocesan commissions/committees/agencies. All exhibitors/vendors for Diocesan Convention shall be approved by the diocesan office. There are limited spaces available. The fee will be $35 per person and includes table space, name badge, lunch ticket, and convention booklet.

GALA INFORMATION

Location: Nix Center, One Bayou Dr, Fairhope, AL

Entertainment: Hot Wire Band

Food: Dinner/Heavy Hors d'oeurves. 

Each clergy and delegate registration will receive one Gala ticket and two drink tickets. Additional drink tickets will be sold at the event.

Although there is an adequate amount of parking on site, you are encouraged to please consider car-pooling with others from your hotels where possible.

YOUTH LOCK-IN

Youth in grades 6 through 12 are invited to this overnight lock-in celebrating our Diocesan Convention. The lock-in is graciously hosted by St. Paul's Episcopal Church in Daphne, Alabama. The program for the evening will be spiritual, educational, and fellowship focused. Youth will learn about the purpose of Diocesan Convention and current events within the Episcopal Church today. There will be worship, music, food, and plenty of fun!

 

Drop-off is at 6 p.m. on Friday evening and pick-up will be mid-morning on Saturday. A detailed schedule will be emailed to all registrants along with some forms to sign. Cost is $20, pay at the lock-in.
